Managing Maintenance Pricing Factors

Maintenance Pricing Factors is a feature that allows you to set up your pricing factors for Maintenance Proposals. You can create multiple Maintenance Pricing Factors based on Offices or other identifiers. This feature allows you to set standard maintenance agreements' rates, margins, and factors that you can select when creating a Maintenance Proposal.

When Creating Maintenance Proposals, a drop-down menu allows you to select Location Pricing Factors. If you would like to create a new pricing factor or edit an existing one follow the instructions below.

Creating a Maintenance Pricing Factor

  1. Click the Settings wheel icon on the top right of the page.
    • This will open a System Settings page allowing you to access all sub-menus.
  2. Click the Maintenance Mgmt button on the Nav Bar.
  3. Click Maintenance Pricing Factors.
  4. Click the + New button.
  5. Fill out the fields. Use the Field Description and Definitions for reference.
  6. Click Save when done.

Editing a Maintenance Pricing Factor

  1. Click the Settings wheel icon on the top right of the page.
    • This will open a System Settings page allowing you to access all sub-menus.
  2. Click the Maintenance Mgmt button on the Nav Bar.
  3. Click Maintenance Pricing Factors.
  4. Click the down arrow next to the Pricing Factor you want to edit.
  5. Click Edit.
  6. Make changes to the fields. Use the Field Description and Definitions for reference.
  7. Click Save when done.

Field Description and Definitions

Item Description Definition
Setup Description The name of this maintenance pricing factor.
Overhead Burden Rate Per Hour The total hourly cost for an employee. Including items such as benefits, sick leave, compensation, etc.
Overhead Burden Margin The margin in percentage for overhead burden rate.
Service Labor Margin The margin in percentage for service labor rate.
Service Material Margin The margin in percentage for service material.
Sub Contract Margin The margin in percentage for subcontractors.
Parts and Material Margin The margin in percentage for parts and materials.
Calc. Travel when One-way Miles >

Here you can set a threshold for the distance in miles from the office to a service location. When exceeded, it will trigger cost calculations for travel. Leave '0.00' if you do not want to use this field.

Example: If you entered '20.00' miles in the field and the service location is 25 miles away, it would trigger cost calculation for travel. If the location were 10 miles away, it would not.

Vehicle Cost Per Mile

Here you can enter vehicle cost per mile traveled.

If preferred, check to select this travel calculation method.

Vehicle Per Trip Charge

Here you can enter a flat rate vehicle trip charge.

If preferred, check to select this travel calculation method.

Labor Class

The Labor Class fields below allow you to name and set costs for your different types of labor.

Hrly Rt $0.00

The hourly rate you charge your customers for labor will be calculated as follows:

(Labor Cost / (1 - Service Labor Margin)) + (Overhead Burden Rate Per Hour / (1 - Overhead Burden Margin))

A - Labor Class Description The name for this Labor Class A.
A - Labor Class Cost(Hrly Rt $0.00) The hourly cost for Labor Class A.
B - Labor Class Description The name for this Labor Class B.
B - Labor Class Cost(Hrly Rt $0.00) The hourly cost for Labor Class B.
C - Labor Class Description The name for this Labor Class C.
C - Labor Class Cost(Hrly Rt $0.00) The hourly cost for Labor Class C.
D - Labor Class Description The name for this Labor Class D.
D - Labor Class Cost(Hrly Rt $0.00) The hourly cost for Labor Class D.
E - Labor Class Description The name for this Labor Class E.
E - Labor Class Cost(Hrly Rt $0.00) The hourly cost for Labor Class E.
Spring Insp.- Default Labor Class Select from the drop-down menu which Labor Class you want to be applied by default for Spring Inspections.
Summer Insp.- Default Labor Class Select from the drop-down menu which Labor Class you want to be applied by default for Summer Inspections.
Fall Insp.- Default Labor Class Select from the drop-down menu which Labor Class you want to be applied by default for Fall Inspections.
Winter Insp.- Default Labor Class Select from the drop-down menu which Labor Class you want to be applied by default for Winter Inspections.
Coil C. Insp.- Default Labor Class Select from the drop-down menu which Labor Class you want to be applied by default for Coil C. Inspections.
Emerg. Serv - Default Labor Class Select from the drop-down menu which Labor Class you want to be applied by default for Emergency Service Calls.
Filter Serv - Default Labor Class Select from the drop-down menu which Labor Class you want to be applied by default for Filter Services.
Belt Serv - Default Labor Class Select from the drop-down menu which Labor Class you want to be applied by default for Belt Services.
Part Serv - Default Labor Class Select from the drop-down menu which Labor Class you want to be applied by default for Part Services.
PM Hrs - Regional Adj

This will multiple your Labor Hours by the percentage multiplier.

You might set it to something other than 100% if you need different base hours because of regional constraints.

PM Mat - Regional Adj

This will multiple your Materials by the percentage multiplier.

You might set it to something other than 100% if you need different base materials because of regional constraints.

Unplanned Hrs - Regional Adj

This will multiple your unplanned hours by the percentage multiplier.

You might set it to something other than 100% if you need different base hours because of regional constraints.

Unplanned Mat - Regional Adj

This will multiple your unplanned Materials by the percentage multiplier.

You might set it to something other than 100% if you need different base materials because of regional constraints.

Replacement Cost - Regional Adj

This will multiple your Replacement Cost by the percentage multiplier.

You might set it to something other than 100% if you need different base replacement cost because of regional constraints.

Mult Yr Contr Ann Esc Rt- Yr 2 The escalation rate percentage in which you want to increase your multiyear contracts for year 2.
Mult Yr Contr Ann Esc Rt- Yr 3 The escalation rate percentage in which you want to increase your multiyear contracts for year 3.
Mult Yr Contr Ann Esc Rt- Yr 4 The escalation rate percentage in which you want to increase your multiyear contracts for year 4.
Mult Yr Contr Ann Esc Rt- Yr 5 The escalation rate percentage in which you want to increase your multiyear contracts for year 5.
Over Time Multiplier The overtime multiplier for your Labor Cost.
Double Time Multiplier The double time multiplier for your Labor Cost.
Annual Cooling Months The number of annual cooling months.
Annual Heating Months The number of annual heating months.
Spring The default month for Spring services.
Summer The default month for Summer services.
Fall The default month for Fall services.
Winter The default month for Winter services.
