Print, Save, and Email Maintenance Proposals

On a Maintenance Proposal, you can print, save as .pdf or .docx, send an email, or send an eSign Form for all of or a selected part of your proposal.

This article will walk you through how to do exactly that. To follow any of the instructions below, you will first need to go to the Maintenance Proposal you'd like to act on.

  1. On the Navigation Bar, click Maintenance Mgmt.
  2. Search and select the relevant Proposal.
  3. Click the Proposal Tab.
  4. Make sure your Proposal is set up and has been Saved.
  5. Follow any of the relevant instructions below.

Printing a Maintenance Proposal

  1. On the Navigation Bar, click Maintenance Mgmt.
  2. Search and select the relevant Proposal.
  3. Click the Proposal Tab.
  4. Make sure your Proposal is set up and has been Saved.
  5. Click the Print Proposal button. This will open the Print Proposal Menu.

  6. The Select Program drop-down will pre-populate with the program type selected on the Agreement section on the Proposal menu. You can also manually select which coverage or proposal type you want to print.
    • Note: You can click to select or deselect any additional sections, but a Program must be selected to print.

  7. Click the Print Button. This will open a Print Preview menu, using your operating system or browser print preview menu.
  8. Click the Print Button at the bottom of the Print Preview Menu.
  9. Follow the normal instructions to print using this preview menu.

Saving a Maintenance Proposal as a .PDF or .DOCX

  1. On the Navigation Bar, click Maintenance Mgmt.
  2. Search and select the relevant Proposal.
  3. Click the Proposal Tab.
  4. Make sure your Proposal is set up and has been Saved.
  5. Click the Print Proposal button. This will open the Print Proposal Menu.

  6. The Select Program drop-down will pre-populate with the program type selected on the Agreement section on the Proposal menu. You can also manually select which coverage or proposal type you want to save.

  7. Click the Export drop-down button.
    • Select Export to Word. to download a .docx file.
    • Select Export to PDF to download a .pdf file.

Saving a Maintenance Proposal to the Opportunity

You can save the Maintenance Proposal .pdf to the Proposal's associated Opportunity File.

  1. On the Navigation Bar, click Maintenance Mgmt.
  2. Search and select the relevant Proposal.
  3. Click the Proposal Tab.
  4. Make sure your Proposal is set up and has been Saved.
  5. Click the Print Proposal button. This will open the Print Proposal Menu.

  7. Click the File button.
  8. Enter a File Title.
  9. Click Save.

Emailing a Maintenance Proposal

  1. On the Navigation Bar, click Maintenance Mgmt.
  2. Search and select the relevant Proposal.
  3. Click the Proposal Tab.
  4. Make sure your Proposal is set up and has been Saved.
  5. Click the Print Proposal button. This will open the Print Proposal Menu.

  6. The Select Program drop-down will pre-populate with the program type selected on the Agreement section on the Proposal menu. You can also manually select which coverage or proposal type you want to email.
    • Note: You can click to select or deselect any additional sections, but a Program must be selected to email.
  7. Click the Email button.
  8. Enter a File Title for the file. This will open the Email Proposal Menu.
  9. Enter the email(s) separated by commas in the "To" field to which you want to email the Proposal.
    • Note: SalesManager will autofill this field the select customer contact on the Job Setup Info tab, and with the user who is emailing the proposal.

  10. Enter an email Subject.Note: 
    • Note: SalesManager will autofill this field with the following "Maintenance Proposal - {FILE TITLE}"
  11. Enter a Message.
  12. Add any additional attachments with the Attach button.
  13. *optional Check to select the File with Opportunity box to save this proposal .pdf with the proposal's opportunity.
  14. Click the Send button.
